Baylor College of Medicine Children’s Foundation – Lesotho The Baylor College of Medicine Children’s Foundation – Lesotho (BCMCFL), is the result of a public-private partnership between Baylor College of Medicine International Paediatric AIDS Initiative (BIPAI) and the Government of Lesotho, and is a legal, non-profit/tax exempt organization registered in Lesotho. BCMCFL provides free paediatric and family-centred HIV and tuberculosis prevention, care, treatment, and support, serving thousands of
children and families affected by HIV, TB, or other child health conditions.


Lesotho/Local Entities Advancing and Driving Health Responses (LEADR) is a multi-year project funded by USAID providing effective decentralized, differentiated, and integrated facility and community services to maximize equitable access to comprehensive HIV, TB, and COVID-19 interventions through a primary health care approach to ensure that clients have access to holistic services. Its goal is to support the Government of Lesotho to deliver high-quality integrated prevention, care and treatment services that will sustain the reduction in HIV, TB, and COVID-19 transmission, morbidity, and mortality in Lesotho through the implementation of a comprehensive, person-centered approach. The project is implemented in Butha Buthe and Mokhotlong districts and at the BCMCFL Maseru Centre of Excellence (COE) and Mohale’s Hoek Satellite Center of Excellence (SCOE).

Duties and ResponsibilitiesPosition Overview:

The incumbent will be responsible for effective and efficient coordination and administration of day-to-day office operations.

Responsibilities include, but are not limited to the following:
  • Provide overall administrative support to both CoHip SEC and LEADR Team.
  • Provide critical administrative support when organising CoHip SEC and LEADR events.
  • Maintain all the filing and documentation of the office.
  • In liaison with Admin Officer, assist in administering logistical planning and execution of events such as meetings, workshops, conferences, seminars, launches
  • Perform office management tasks as necessary including answering the telephone, e-mail, and mail management.
  • Support with advance requests for consumables such as office supplies, issuance and maintaining tracking sheet (include reorder level on the sentence)
  • Assists in the preparation of expense claims.
  • Assist with staff travel, including cost control, travel requests and claims and other associated issues.
  • Participate in asset counts, processing and the recording of the fixed asset register.
  • Assists with travel processes and procedures for both Projects.
  • Responsible for the upkeep of CoHip SEC and LEADR offices and facilities.
  • Identify and report all the broken furniture and raise requisitions for repair of such to ensure that office equipment is in perfect working condition.
  • Administer contract register by ensuring clients are alerted to expiring contracts at least 6 months
  • Perform any other duties are directed by the Administration.
  • Educational Qualifications, Work Experience and Key Competencies
  • Diploma in Office Administration or any relevant qualification.
  • Minimum of one (1) year of work experience in a similar role within project administration will be an added advantage
  • Time-management and organization skills
  • Knowledge of MS Excel
  • Excellent administration and communication skills.
