Administration and Logistics Officer

The position will be based in Maseru, Lesotho.
SECURE Project Description
The USAID Sustaining Epidemic Control through Unified Prevention (SECURE) program is a five-year activity that seeks to build on this positive momentum by providing USAID a flexible, locally led response differentiated by target population and built on our record of success in Lesotho, existing presence across the target geography, and FHI 360’s deep bench of technical expertise. Our approach seeks to strengthen the system that provides integrated primary health care (PHC), health promotion, health systems strengthening and preventive services and transitions leadership to key government-led services and local implementers. Our partners offer complementary expertise and trusted relationships with the Government of Lesotho (GOL), stakeholders, and communities. Our team will serve as mentors, trainers, advisors, and facilitators to bolster local partner and government capacity, skills, and tools to lead the HIV prevention response toward reaching, maintaining, and sustaining HIV epidemic control.
Job Summary
The Admin and Logistics Officer is responsible for overseeing day-to-day office administration, fleet management and general logistics needs related to programmatic activities, movement tracking, asset management, and other tasks as assigned.
Key Responsibilities:
- Coordinate vehicle allocation and fleet management of all project related rental vehicles. Ensure that all FHI 360 fleet management guidelines are applied at all times including log books and maintenance sheets.
- Develop tools to ensure efficient monthly, weekly & daily planning & movement follow-up tools.
- Support loading and unloading of goods and project related items.
- Ensure accuracy of all inventories. Ensure Assets register and inventory is up-to-date in all times.
- Constantly monitor inventory tagging and recording in accordance with the fhi360/Donor guidelines.
- Supervise FHI 360 Lesotho warehouse management according to fhi360 warehouse standards and records are well maintained.
- Coordinate with Field Offices to record and update all inputs and data for the warehousing and Procurements
- Coordinate with Field Office to receive and achieve Warehousing and Logistics Operations files and maintain them updated both manually and electronically.
- Assist in all Procurement tasks as per FHI 360 Lesotho’s Procurement Handbook.
- Identify warehouse/storage space based on needs in the area, ensuring an efficient flow between Beira office and field implementation sites. Ensure premises are furnished and secure.
- Liaise with suppliers and vendors for timely delivery of goods, and efficient problem solving of unexpected issues.
- Support sufficient planning for deliveries to project teams and update the Logistics Coordinator with regular information about stock levels and expected leave times.
- Handle random sport checks during field visits as well as amongst daily management task to check overall traceability of items.
- Any other task as requested by the Logistics Management.
Education
- Bachelor’s Degree or its International Equivalent in Social Sciences
Minimum Requirements
- At least 5 years of experience providing fleet, administration and logistics support in an office setting.
- Vocational or specialized training desired
- Prior work experience in a non-governmental organization (NGO) is preferred
- Must speak and write fluent English.

- Less than 10%
