mothers2mothers (m2m) is an African Primary Health Care organisation that employs women living with HIV as community health workers across 10 African nations. These “Mentor Mothers” deliver integrated health services at clinics and in communities to ensure everyone, everywhere, has access to the services they need to be healthy and stay in care. Over the next five years, this proven, peer-led model is being scaled up to double down on ending HIV, as well as to tackle new health challenges and reach more people – all with the aim of building a fairer, healthier future. The employment of local women as community health workers means that we are delivering a model that prioritises healthcare for families who need it most, delivered by women who know them best. Since its creation in 2001, m2m has created jobs for nearly 12,000 women living with HIV in sub-Saharan Africa and, together, they have reached over 15M people with critical health services and education. In 2021, m2m reached over 1.6M people across 10 African nations, including 402,616 adolescents (ages 10-19) – 51% more than the year before. m2m also advanced the Global Goals of ending HIV/AIDS by 2030 – by achieving virtual elimination of mother-to-child transmission of HIV among its enrolled clients for the eighth consecutive year, and meeting all of the ambitious UNAIDS Fast-Track Targets among its clients four years ahead of the 2026 target date. Job Title: Admin and Fleet OfficerClosing Date: 13/9/2024Job DescriptionThe Admin & Fleet Officer will be responsible for planning and coordination of all logistics, administration and fleet-related activities, including organizing monthly or quarterly meetings of site level staff and management as required by the project. S/he will supervise all project drivers and Facility assistant.
Key Performance Areas:
Administration
- Coordinate the efficient use of m2m assets and rented facilities. Help ensure full compliance of procurement of office material and asset management systems
- Help ensure administrative systems, processes and policies are in line with m2m policy, donor and local law regulations
- Engage with relevant external stakeholder on assigned administrative matter and ensure lease are up-to-date
- Help identify safety issues and Ensure safe and sound work environment
- Maintain an updated list of inventories and manage warranties
- Arrange events, conferences and seminars
- Manage office/training stationery and office supplies and Site inventory
- Manage insurance of Laptops and other electronics
- Perform inventory inspection and provide report monthly
Fleet
- Develop Monthly field Travel schedules and coordinate with the team
- Under the guidance of the finance manager, manage the pool of vehicle including service, repair and maintenance
- Ensure vehicles have valid insurance, and insurance claims are processed timely
- Coordinated vehicle checks and report incidents
- Track and monitors routes of vehicle on the company tracking programme
- Monitor vehicle log books on a weekly basis
- Keep track of fuel card utilization and make monthly reconciliation of bill and vehicle records
- Conduct physical verification annual
- Manage Fleet parking per approved designation and vehicle policy
Line Management
- Supervise the line managed staff
- Ensure timesheet are submitted on time
- Manage the performance review process
Qualifications and Experience:
- Bachelor degree in business administration or fleet management or related field
- Demonstrated solid experience designing and implementing systems for efficient administration support to large organisational teams
- 3 years’ experience in a similar role;
- Computer literacy: (Office suite: Word, Excel, Outlook), Internet
- Ideally, a valid (unendorsed) driver’s license. The driver’s license must be valid for the SADC region for a 5 or 7-seater passenger vehicle;
Competencies:
- Fluency in English language
- Ability to work independently, problem-solve collectively and innovatively.
