Applications are invited from suitably qualified local candidates for the following positions that are tenable in the Ministry of Agriculture, Food Security and Nutrition:

JOB SUMMARY
UNDER THE GENERAL SUPERVISION OF THE PRINCIPAL, THE REGISTRAR WILL BE RESPONSIBLE FOR THE DEVELOPMENT AND MAINTENANCE OF INSTITUTIONAL RECORDS; STANDARDIZATION OF ADMISSIONS AND CERTIFICATION; PROMOTION OF A CONDUCIVE LEARNING ENVIRONMENT; COORDINATION OF INSTITUTIONAL FACILITIES; PREPARATION AND MANAGEMENT OF BUDGET AND SUPERVISION AND DEVELOPMENT OF STAFF.

MAIN DUTIES

  • DEVELOPMENT AND MAINTENANCE OF STUDENTS’ RECORDS
    • Coordinates the electronic capturing of student information annually for ease of reference.
    • Facilitates computerization and updating of student’s records, including their examinations scores for future reference and processing of results.
    • Provides reports on students’ information annually to facilitate decision-making.
      Facilitates the safekeeping of all information pertaining to students’ information to ensure confidentiality.

    2. STANDARDIZATION OF ADMISSIONS AND CERTIFICATION

    • Updates and reproduces application forms and brochures timely to ensure that new intake conforms to set criteria.
    • Shortlists the suitable applicants for final selection annually.
    • Participates in the setting of rules and standards for admission and certification to ensure adherence to academic standards.
    • Makes arrangements for orientation programme to familiarize students with institutional set-up.
    • Arranges and coordinates college ceremonies (graduation, etc.) and performs protocol functions
    • Coordinates the processing of the issue of certificates/diplomas for graduating students to ensure that all graduating students shall receive them during graduation ceremony.

    3. PROMOTION OF CONDUCIVE LEARNING AND ADMINISTRATIVE
    ENVIRONMENT

    • Serves as the ex-officio member of the College’s students’ disciplinary committee to facilitate institutionalising disciplinary actions.
    • Facilitates students where rehabilitation/redemption is possible to maximise their ability to cope with their studies.
    • Disseminate information on current institutional affairs (administrative/academic) to staff and students to ensure the smooth running of student welfare-related matters.
    • Participates in the arrangement of College trips to ensure students’ safety and health during educational and sporting tours.
    • Liaises with other academic and administrative departments to ensure smooth coordination of student affairs activities.
    • Ensures that SRC runs its affairs within the framework of the regulations of the College to avoid conflict.
    • ⁠Takes and distributes minutes in several institution committee meetings to promote the smooth running of the institution.
    • Manages all examination processes and ensures strict security and confidentiality of examination papers

    4. PREPARATION AND MANAGEMENT OF BUDGET

    • Collaborates with the staff of the student’s welfare section to prepare and submit the budget to the Principal.
      Approves all the requisitions related to students to run the section cost-effectively and within the budget.

    5. SUPERVISION AND DEVELOPMENT OF STAFF

    • Liaises with heads of programmes to identily the training needs of staff in order to develop a training plan.
      Assesses the progress of supervisees in ling with Performance Management System (PMS).
      Maises with programme coordinators to fast-track the implementation of the training plan

    COMPENSABLE FACTORS
    JOB SPECIFICATION
    Master’s Degree in Education Management/ Education
    OR
    Bachelor’s Degree in Education Management / Education PLUS 2 years’ work experience at a tertiary institution or Secondary school.
    NB: A COUNSELING CERTIFICATE WOULD BE AN ADDED ADVANTAGE.
